This Privacy Policy explains what information Worksheeta collects from teachers who use the Service, why we collect it, and the choices and rights available to you. It does not apply to students — Worksheeta has no student accounts and collects no information from or about students.

1. Who we are

Worksheeta is a reading-comprehension worksheet generator for teachers, built and operated by Skyen Systems Pty Ltd ("Skyen Systems", "we", "us", "our"), an Australian company registered in Victoria with Australian Company Number (ACN) 701 564 730 and Australian Business Number (ABN) 19 701 564 730, located at Unit 18, 285–287 Derrimut Rd, Hoppers Crossing VIC 3029, Australia. This Policy applies to worksheeta.com, the Worksheeta web application, and any related services we operate (together, the "Service"). We are committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), as well as applicable international privacy laws including the UK GDPR and EU GDPR.

2. Who this policy covers

Worksheeta is built for teachers, and only teachers hold accounts. There is no student login, student profile, or student-facing part of the Service of any kind. Nothing in this Policy describes the collection of student data, because none occurs — a teacher's own submitted passages and generated worksheets are the only content the Service ever processes, and no student ever interacts with Worksheeta directly.

If you are a parent, student, or school administrator with a question about what a teacher has generated using Worksheeta, that content belongs to the teacher who created it, not to us — please direct questions to your school in the first instance.

3. Information we collect

3.1 Information you provide directly

  • Account details: your name, email address, and password (stored in hashed form — we never store or can read your plain-text password).
  • Profile details: your school's name, and, if you choose to add them, your school's logo image and your own photo.
  • Curriculum preferences: your selected curriculum pack (US, UK, Australia, or Canada) and default level.
  • Content you submit: text you paste or upload, images or PDFs you upload for text extraction, topics and vocabulary words you provide for AI-generated passages, and any edits you make to generated questions.
  • Billing information: when you subscribe to Worksheeta Pro, our payment processor, Stripe Payments Australia Pty Ltd, collects your payment card details directly. Charges appear on your card statement as SKYEN* WORKSHEETA. We never receive or store your full card number — see Section 6.
  • Correspondence: support requests and feedback at hello@worksheeta.com; billing questions at billing@worksheeta.com; privacy questions at privacy@worksheeta.com.

3.2 Information collected automatically

  • Usage data: which features you use, how many worksheets you generate each month (to enforce your plan's allowance), and general interaction patterns within the Service.
  • Device and log data: browser type, operating system, device type, IP address, and timestamps, collected for security, fraud prevention, and diagnosing technical problems.

4. How we use your information

We use the information above to:

  • Create and maintain your account, and authenticate you when you sign in.
  • Generate worksheets, passages, and answer documents from the text and preferences you provide — this requires sending your submitted text to a third-party AI service provider for processing, as described in Section 6.
  • Extract text from photographs and PDFs you upload, using our own OCR service. If that service is unavailable, we use OCR.space as a fallback to extract readable text.
  • Apply your school logo, photo, and header preferences to worksheets you generate.
  • Track and enforce the worksheet allowance attached to your plan (3 trial, 5 per month on Free, and the worksheet allowance attached to your Worksheeta Pro plan).
  • Process payments, manage your subscription, and send billing communications.
  • Respond to support requests and communicate with you about your account, including service updates and, where you have not opted out, occasional product news.
  • Maintain the security of the Service and investigate suspected misuse.
  • Comply with our legal obligations, including tax and accounting record-keeping.

We do not use your information to serve advertising, and Worksheeta does not carry third-party advertising of any kind. We do not sell your personal information.

5. Our legal basis for processing (UK and EEA users)

If you are located in the United Kingdom or the European Economic Area, we rely on the following legal bases under the UK GDPR and EU GDPR:

  • Performance of a contract — to create your account, generate worksheets you request, and administer your subscription.
  • Legitimate interests — to keep the Service secure, prevent abuse of free-tier allowances, and improve our product, balanced against your rights and interests.
  • Consent — where we ask for it specifically, such as optional marketing communications, which you may withdraw at any time.
  • Legal obligation — to retain billing records as required by applicable tax law.

6. How we share your information & Sub-processors

We share information only as needed to operate the Service, and never for advertising purposes. We send personal data to trusted service providers operating in Australia, the United States, and the European Union:

  • AI content generation: OpenAI (United States) — text you submit to generate worksheets, passages, and answer keys.
  • Text extraction (OCR): Internal OCR service and OCR.space (United States) — uploaded textbook photos and PDFs.
  • Hosting and infrastructure: Hostinger (Virtual Private Server hosting).
  • File and media storage: Cloudinary (school logos, profile photos, and generated worksheet assets).
  • Email delivery: Hostinger (transactional and system notifications).
  • Payment processing: Stripe Payments Australia Pty Ltd / Stripe (Australia & United States) — subscription billing and transaction records. Charges appear as SKYEN* WORKSHEETA.
  • Legal and safety reasons: where required by law, legal process, or to protect the rights, property, or safety of Skyen Systems, our users, or the public.

7. International data transfers

Worksheeta is operated from Australia and works with service providers that process data in Australia, the United States, and the European Union. Where we transfer personal data of users in the UK or EEA to a country that does not have an equivalent level of data protection, we rely on appropriate safeguards recognised under UK GDPR and EU GDPR, such as Standard Contractual Clauses, before that transfer takes place.

8. Data retention

We retain your account information and saved worksheets for as long as your account remains active. If you delete your account, we handle your data as described in our separate Account & Data Deletion Policy.

Billing and transaction records are retained for as long as required by applicable tax and accounting law, typically 7 years, regardless of whether you delete your account, because we remain legally required to keep them.

9. Your rights and complaints

Under the Privacy Act 1988 (Cth), the Australian Privacy Principles, and applicable UK/EU GDPR laws, you have the right to access, correct, or request deletion of personal information we hold about you.

Depending on where you live, you may also have rights to data portability, restriction of processing, or withdrawing consent.

If you have a question, privacy request, or complaint, please email privacy@worksheeta.com first. We respond to all requests promptly.

If you are located in Australia and are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au. Users in the UK or EEA may lodge a complaint with their local data protection authority.

10. Children's privacy

Worksheeta is not directed at, marketed to, or intended for use by anyone under the age of 18. Every account holder must confirm they are at least 18 years old when they register — see our Terms of Service. Because there are no student accounts and no student-facing part of the Service, Worksheeta does not knowingly collect personal information from children. If we become aware that we have inadvertently collected information from someone under 18, we will delete it promptly.

11. Security

We use reasonable technical and organisational measures designed to protect your information, including encrypted connections, hashed password storage, and restricted internal access to personal data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

12. Cookies

Worksheeta uses a limited set of cookies to keep you signed in, remember your preferences, and keep the Service secure. Full detail is in our separate Cookie Policy.

13. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify account holders by email or by a notice within the Service before the changes take effect. The "Last Updated" date above reflects the most recent version.
